What You Need to Know Before Booking With Us
Our agency coordinates 30 to 40 group tours and books between 100 to 200 trips for individuals each year.
We cannot accept requests to book vacations that are 3 months or less away from departure.
We appreciate it when clients come to us a year or more to plan their vacations, but please understand that there will be gaps of time between your initial booking and completing certain elements of your trip. This is for a couple of reasons: 1) most flights - and sometimes certain hotels and excursions - can't be booked more than 6 to 11 months in advance, and 2) we have other clients we are assisting whose trips depart before yours.
We book cruises, all-inclusive resorts, family and group vacations that include air, hotels and activities (think Branson, Las Vegas, Disney, Universal), and international vacations. We no longer book flights by themselves, and we no longer book road trips that only require hotels.
When you come to us with a trip, you will receive a 30 to 45-minute consultation either over the phone or in person where we learn about where you want to go and what you want to do. You can ask us questions and we will ask you a lot of questions so we can offer the best advice from our more than 40 years of experience as an agency. This includes asking what your budget is, though we know many people don't like that question. But we ask so that we can make sure the trip you want matches up with the budget you want to spend (they can be two different things).
Once we feel confident we know what you're looking for, we'll talk with you about our planning fee and service agreement. This fee covers our time it takes to research and plan your trip and is nonrefundable. Our service agreement explains what you can expect from our services and what we expect of you as a client.
After the planning fee and service agreement are turned in, we start working on your trip. Flights and accommodations come first, followed by activities, excursions or tours as they apply. Thirty to fourteen days before your departure, you'll receive your travel documents, including an electronic itinerary you can access from your phone that will have everything you need for the amazing vacation you're about to start. If anything comes up during the trip that you need help with, we're here to sort it out. And when you come back, we'll follow up to see how everything was... and find out where you want to go next.

Sara HornSara wears many hats at Zachary Travel, as our office manager, a guide, and our tour designer, just to name a few, but she still enjoys booking the occasional vacation for a beloved client. Some of her favorite trips to plan for clients include Paris, London, and, of course, Disney! When she's not busy with travel, she's spending time with her husband, Cliff, their adult son and their grade school daughter.
